Who this policy applies to
This policy applies to personal information we collect from donors, grant applicants, charity representatives, event attendees, website visitors, subscribers, professional advisers, suppliers and other people who interact with the Foundation.
What personal information we collect
We only collect personal information that is reasonably necessary to carry out the Foundation's charitable activities, administer donations and grants, communicate with our supporters and comply with our legal obligations.
Some information provided by grant applicants may relate to an organisation rather than an individual. This information generally does not identify you personally and is used to improve our website and services.
Sensitive information
We only collect sensitive information where it is reasonably necessary for our charitable activities, grant assessment, due diligence, reporting, communications, governance or legal obligations. This may include information about health, disability, cultural background, personal circumstances, or people supported by a funded project.
If you provide sensitive information to us, including information about health, disability, cultural background, personal circumstances or people supported by a funded project, we will handle it with additional care and only use or disclose it for the purposes described in this policy or where permitted by law.
Anonymity and pseudonymity
Where practicable, you may choose not to identify yourself or to use a pseudonym when contacting us. However, for some interactions — such as issuing tax receipts, processing donations, assessing grant applications, entering funding agreements or meeting legal and audit requirements — we may need to collect accurate identifying information.
How we collect information
We collect personal information directly from you when you:
complete an online donation;
submit a grant application;
register for an event;
subscribe to our communications;
interact with our social meda posts;
contact us by phone, email or online form; or
otherwise interact with the Foundation.
We may also collect information from:
your organisation;
publicly available sources (such as the ACNC Register);
referees or contacts nominated by you; and
trusted service providers assisting us to deliver our services.
Why we collect your information
We use your personal information to:

improve our website and services;
detect and prevent fraud or misuse of our services;

comply with legal, financial, taxation and regulatory obligations.
Marketing communications
If you choose to receive updates from the Foundation, we may send you:
Foundation news;
grant round announcements;
impact stories;
event invitations; and
fundraising updates.
You may unsubscribe at any time by clicking the unsubscribe link in our emails or by contacting us directly. Our email communications may record information such as whether emails have been opened or links clicked. This information helps us improve our communications and understand supporter engagement.
We do not sell or rent your personal information for marketing purposes.
Grant assessment
Information provided as part of a grant application may be shared with Foundation staff, Governors, committee members, external assessors, professional advisers and service providers where reasonably necessary for assessment, due diligence, conflict-of-interest management, grant administration, reporting, monitoring, audit, governance or legal purposes. This includes both successful and unsuccessful applications.
People involved in assessment must keep applicant information confidential and use it only for Foundation purposes.
Conflict of interest
People involved in the assessment of grant applications may be required to declare any actual, potential or perceived conflicts of interest. Where a conflict exists, access to applicant information may be restricted and the conflicted person may be excluded from consideration of that application.
Stories, images and impact reporting
We may collect project updates, stories, photographs, videos, testimonials and impact information from funded organisations. We expect funded organisations to obtain any necessary consents before providing us with photographs, videos or personal stories of individuals.
Where this information identifies individuals, we will use it only for Foundation reporting, governance, communications, fundraising or promotional purposes where appropriate consent has been obtained or where otherwise permitted by law.
Where stories, photographs or videos involve children or young people, we expect funded organisations to obtain consent from a parent or guardian where required.
Payment processing
Online donations made through our website are securely processed by Fat Zebra, our payment gateway provider, and managed through our donor management platform, SupporterHub.
The Foundation does not store complete credit or debit card details.
Where recurring donations are established, payment information is securely tokenised and managed by our payment provider rather than being retained by the Foundation.
Our service providers
We use trusted third-party providers to help deliver our services. These may include donor management platforms, grant management platforms, payment gateways, website hosting providers, email and communication platforms, auditors, legal advisers and IT providers.
Our website may also include links to third-party websites or platforms. We are not responsible for the privacy practices of those third parties, and you should review their privacy policies before providing personal information to them.
Disclosure required by law
We may disclose personal information where required or authorised by law, including to regulators, courts, law enforcement agencies, auditors or other government authorities.
Overseas disclosure
Some of our service providers may store or process personal information outside Australia using secure cloud-based infrastructure.
Where this occurs, we take reasonable steps to ensure your personal information receives an appropriate level of protection consistent with Australian privacy laws.
Cookies
Our website may use cookies and similar technologies to:
remember your preferences; analyse website traffic;
improve website functionality; and
better understand how visitors use our website.
You can choose to disable cookies through your browser settings, although some website functionality may be affected.
Automated tools and decision-making
We may use digital tools to help administer donations, manage communications, screen eligibility or support grant administration. We do not make final grant funding decisions solely by automated means. Grant decisions are made through human review and Foundation governance processes.
If we introduce automated tools that use personal information to make, or substantially assist in making, decisions that could significantly affect individuals, we will update this policy to explain how those tools are used.
Protecting your information
We take reasonable steps to protect your personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
These measures include secure cloud-based systems, encryption where appropriate, restricted staff access, password-protected systems, multi-factor authentication where available, and regular review of our information security practices.
While we take reasonable steps to protect your information, no method of transmitting information over the internet can be guaranteed to be completely secure.
If we become aware of a privacy or data security incident involving personal information, we will assess the incident and take steps to contain, investigate and respond to it. Where required by law, we will notify affected individuals and the Office of the Australian Information Commissioner.
How long we keep your information
We retain different types of information for different periods, including:
donation and tax receipt records for legal, taxation and audit purposes;
grant application and assessment records for governance, audit, reporting and historical funding records;
funnding agreement and acquittal records for grant administration, reporting and compliance; and
communication subscription records until you unsubscribe or ask us to delete them, unless we need to retain them for legal or administrative purposes.
When personal information is no longer required, we will securely destroy or permanently de-identify it unless we are required by law to retain it. Certain financial records may be retained for up to seven years in accordance with Australian legal requirements.
Accessing and correcting your information
You may request access to the personal information we hold about you.
If you believe any information is inaccurate, incomplete or out of date, you may request that we correct it.
Where permitted by law, you may also request that we delete personal information that is no longer required for the purpose for which it was collected.

If you have a question or complaint about how we have handled your personal information, please contact us using the details below.
We will acknowledge your complaint promptly and aim to respond within 30 days.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (https://www.oaic.gov.au/)
